You do not need an account
You can finish the survey without your name, Social Security number, birth date, tenant ID, or apartment number.
Survey vs. asking for help
The survey is anonymous. Nobody can call you back from survey answers alone. If you want a person to contact you, you must ask for help separately and give a phone number.
Outside organizations
We never send your information to legal aid or any other group unless you check a separate box that says you agree. You can say no and still get a call from us.
Voice
When you speak an answer, your device turns it into words. We never keep a sound recording. Only the words you confirm are saved.
Research totals
For research we keep a separate copy with no reference code, no notes, no phone, and only the month. It cannot be linked back to your survey. Groups smaller than 5 people are hidden, even when categories are combined.
File safety
Papers must be a photo or PDF under 10 MB. We check that the file really is what it says and block PDFs with hidden code. This is not a full virus scan.
What we keep
Your answers, the language you chose, the date, and a reference code. If you add papers, we keep those files. If you ask for a call, we keep your phone number and name.
Why we keep it
To save your progress, make your report, and, only if you ask, to have a helper call you. Staff can also see totals (for example, how many people did not get a notice). Small groups are hidden so no one can be picked out.
Who can see it
Other residents can never see your answers or papers. Most staff only see totals. Only trained helpers can open a resident file, and only when that resident asked for a call. Every time they open one, it is recorded.
Is it anonymous?
Not completely. Our servers keep normal technical records, like internet address and time, for security. If you type your name or phone, or your papers show it, you can be identified. Please cover private details on photos before you send them.
AI tools
To check your answers against housing rules, some answers are sent to an AI service. We do not send your phone number, name, or free-text notes. Your papers are sent only if you tap “Check this notice” and agree; the AI reads them once and we keep only the facts it found, not a copy at the AI service. We do not use advertising or tracking tools.
How long we keep it
Unfinished surveys are deleted after 90 days. Finished surveys and papers are deleted after 1 year. You can delete your survey yourself at any time from the last screen.
Protection
Information is sent over a secure, encrypted connection and stored by our cloud provider with encryption. Papers are kept in a private storage area and opened only with links that expire in one minute.
If something goes wrong
If we learn that information was seen by someone who should not see it, we will stop the problem, look into it, and tell affected people and the proper authorities as required by law.
